How we work · Step 03 of 06

Design & approvals: see it in 3D before it is built

3D stage and stall renders, floor plans, branding and signage designed in-house, and the police, fire, excise and venue permissions filed in parallel, so nothing is built before you have approved it.

Our designers turn the approved concept into pictures you can judge: 3D renders of the stage or the stall from the audience's point of view, floor plans with seating, flow and emergency exits, the entrance, signage, delegate kits and every branded surface. Changes are made on the render, where they cost nothing, not on site, where they cost a lot.

At the same time our planning team files the permissions. Depending on the event and the city this can mean police, fire, traffic, excise, music licences (PPL and IPRS), the venue's own approvals and, for exhibitions, the organiser's stand approvals for height, rigging and materials. We start early because lead times, not design, are what usually hold a date hostage.

Questions

Asked about this step

How many design rounds are included?
Two rounds on the concept and two on the detailed design. Most events need fewer.
Which permissions does a corporate conference in a hotel need?
Usually the venue's own approvals plus music licences if you play recorded or live music, and excise permission if alcohol is served. We confirm the exact list for your venue and city.
What if a licence is refused or delayed?
The tracker shows every application and its status, and we build the plan around the longest lead time. If something is refused, we tell you at once and offer the alternatives.
