Event management in Delhi: summits, stands and stadium nights

Conferences at Le Méridien, an awards summit at The Tivoli, a programme finale in the city and crew at Yashobhoomi: this is what we have produced in Delhi, and how we handle the venues and the permissions here.

Delhi is where most of our conference and summit work happens. In March 2025 we produced India's Road Infrastructure, a government-facing conference for HOAI at Le Méridien on Janpath: stage, branding, seating and the full AV. On 1 November 2026 the Bharat Leadership Summit, which we run with SpectraSpot Events, takes over The Tivoli in Chattarpur for an awards and leadership evening. We produced the Grameen Heroes grand finale in the city for a rural entrepreneurship programme, and our crew worked the India Maritime Heritage Conclave at Yashobhoomi in Dwarka.

The city has venues the rest of NCR does not: Bharat Mandapam and Yashobhoomi for trade fairs and large conventions, Jawaharlal Nehru Stadium and the Indira Gandhi Indoor Stadium for stadium shows, NSIC Okhla for Comic Con and the India Art Fair, and a ring of five-star ballrooms from Aerocity to Chanakyapuri and Janpath. Each has its own rules on load-in, rigging, power and materials, and we draw the build around those rules from the first render.

Delhi is also the hardest city in NCR for permissions. Delhi Police's Licensing Unit, the agency that owns the land, the Delhi Fire Service, the Excise department and the traffic police all have a say in a public event. We budget the weeks for it, and we walk the file from office to office ourselves.

From our events

Our work in Delhi

Three Delhi projects, three formats. The HOAI conference at Le Méridien was a government-facing day with a stage, branding, a seating plan and full AV. The Grameen Heroes finale was a programme's grand finale with a set build, AV, guest handling and crew. The Bharat Leadership Summit at The Tivoli is a business awards and leadership evening we run with SpectraSpot Events, with Sonu Sood and Mouni Roy as the headline guests.

Permissions

Who signs off an event in Delhi

Delhi Police Licensing Unit

The public-performance licence

Public shows in Delhi are licensed by Delhi Police's Licensing Unit under its 2023 regulations for public amusement performances. The application carries the venue booking, an organiser's affidavit and, for ticketed shows, the ticketing details; for open grounds, the land-owning agency's and the fire department's no-objections go in too. The district police and the traffic police are consulted before it is signed.

NDMC, MCD, DDA or ITPO

Who owns the ground comes first

NDMC in the New Delhi area, the Municipal Corporation of Delhi elsewhere, DDA for its grounds and sports complexes, ITPO for Bharat Mandapam, and the stadium authorities for JLN and the Indira Gandhi complex: the owner's permission and charges come before the police file. Hoardings and branding outside the venue need the corporation's advertising permission as well.

Delhi Fire Service

Fire NOC for stages, tents and power

Temporary structures, pandals and generator sets need the Delhi Fire Service's no-objection, with exits, extinguishers and fire-retardant fabric specified on the drawing. Venues such as Bharat Mandapam add their own rules on materials and stand height on top.

Excise, sound and traffic

Bar licences, the 10 pm limit and the traffic plan

Serving liquor at an event needs a temporary licence from Delhi Excise, tied to the premises and the date. Outdoor sound stops at 10 pm under the Noise Pollution Rules. For anything with a crowd, the traffic police want the parking, drop-off and route plan before the police permission is issued.

Questions

Asked about Delhi

How long do Delhi Police permissions take for an event?
Allow four to six weeks for a public or ticketed event, because the police file depends on the venue booking, the fire NOC and the traffic plan being ready first. A closed-door corporate conference in a hotel needs far less, usually only the hotel's own clearances and an excise licence if there is a bar.
Can you build our stand at IITF or the World Book Fair at Bharat Mandapam?
Yes. Stand design, fabrication, graphics, AV and staffing for the halls at Bharat Mandapam and Yashobhoomi, built to ITPO's rules on height, materials and electrical work. Send us the hall and stand number and we start with a 3D render.
Do you handle hotel conferences in Delhi end to end?
Yes. The India's Road Infrastructure conference for HOAI at Le Méridien is a good example: stage, branding, seating, AV and delegate flow handled by one team, with the hotel's banquet team coordinated by our lead. The same applies to the Aerocity and Chanakyapuri hotels and to The Tivoli.
