Concept & budget: the idea and the numbers, side by side

Within a working day of the brief you get the show idea, a run-of-show outline and a line-item budget with options, so you can see what each element costs before anything is committed.

With the brief agreed, our producers build the concept: the theme and the look, how the day or night flows, the artists or speakers that fit, and where the money should go to make the biggest difference to your objective. For a conference that may be the stage and the agenda; for a concert it is the line-up and the crowd experience; for an exhibition it is the stand and the footfall plan.

The concept comes with a line-item budget. Every item is visible: venue, fabrication, LED and sound, artists, marketing, crew, permissions, our fee. Where there is a choice, we show it as options, so you decide where to spend and where to save.

Questions

Asked about this step

How accurate is the budget at this stage?
It is built from rates we hold for Delhi NCR venues and vendors, so it is usually within 10 to 15 percent of the final cost. Firm quotes replace estimates once the design is approved.
Can we take the concept to another agency?
The concept and budget are paid work, and once paid for they are yours to use. Most clients continue with us, but there is no lock-in.
Do you charge a management fee or a fixed price?
Either. A management fee on top of transparent vendor costs, or a fixed price for the whole event. The budget shows both ways if you want to compare.
